Office Assistant Warranty Clerk

Tom Davis Chevrolet GMC is seeking a detail-oriented and customer focused Office Assistant/Warranty Clerk. The ideal candidate is organized, professional, dependable, and comfortable working in a fast-paced environment.

Key Responsibilities

Receptionist/Scheduler

  • Answer incoming calls in a professional and friendly manner
  • Assist with scheduling service appointments, confirmations, and follow-ups
  • Update customer information in the dealership management system

Cash Handling & Transactions

  • Process and post repair orders and parts tickets accurately (cash, check, credit/debit)
  • Reconcile transactions and balance cash drawers daily

Warranty Processing

  • Prepare and submit warranty claims accurately and in a timely manner
  • Review repair orders for accuracy and compliance with General Motors policies
  • Follow up on rejected or pending claims and resubmit as needed
  • Maintain warranty documentation and records
  • Communicate with service regarding warranty requirements
  • Assist with tracking and monitoring claim status

Qualifications & Skills

  • Knowledge of warranty claim processing and procedures is preferred
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks simultaneously
  • Excellent communication skills, both verbal and written, with a focus on customer service
  • Comfortable with phone communication and customer interaction
  • Ability to work in a team environment
  • Reliable attendance and a can-do attitude
  • Proficient with spreadsheets and word documents
